Connect Muse to QuickBooks
Last updated: October 2026. With the QuickBooks connector, Muse can read your transactions, invoices and expenses — then categorize the uncategorized, draft invoice reminders, and run month-end sanity checks. Your books, with an assistant that actually reads them.
Setup (about 10 minutes)
- Open Connections. In the Muse app, go to Settings → Connections (or Apps) and find QuickBooks.
- Start read-only. Authorize via OAuth with read access to transactions, invoices and expenses. Categorization review needs no write scope.
- Run a categorization pass. "Categorize last month's uncategorized transactions. For each, give me the category, why you chose it, and a confidence level." Correct its mistakes — it learns your chart of accounts.
- Approve invoice drafts. Only widen scope to invoice sending once the reads are trustworthy. Keep per-send approval on.
Copy-paste prompts
Categorize the backlog
Categorize last month's uncategorized transactions in QuickBooks. For each: suggested category, one-line reason, confidence (high/medium/low). Don't apply anything — I'll review first.
Invoice reminder draft
List invoices overdue by 14+ days. For each, draft a polite reminder email with the invoice number, amount, due date and a payment link. Do NOT send — show me the drafts.
Month-end check
Run a month-end sanity check: uncategorized transactions, invoices with no payment activity in 30 days, duplicate expenses, and any vendor paid twice. Summarize what needs my eyes.
Expense pattern flag
Compare this quarter's expenses by category against last quarter. Flag any category up more than 20% and tell me which vendors drove the increase.
Permissions & safety
- Read-first, always. Audits and categorization reviews need no write access. Grant it only when you start approving invoice sends.
- You are the accountant of record. Muse suggests categories; you accept them. Tax-relevant decisions stay human.
- Invoice sends need approval. Every reminder waits for your explicit OK — a wrong "overdue" email to a good client costs more than it saves.
- Revoke anytime. Settings → Connections → QuickBooks → Revoke.
Failure modes
- Category drift. Agents love "miscellaneous." Give Muse your actual chart of accounts up front and forbid new categories without asking.
- Duplicate detection. Bank-feed duplicates look like double spending. Ask Muse to flag suspected duplicates rather than auto-merging.
- Partial payments. An invoice "overdue by $500" might be $400 paid. Verify amounts against the invoice record before any reminder goes out.
- Quarter boundaries. Accrual vs. cash timing confuses agents. State your accounting method in the prompt if the numbers look off.
